A WordPress form can report a successful submission without the notification reaching your inbox. Separate three questions: can the business mailbox receive ordinary mail, can WordPress send through its configured mail service, and can this particular form send with the right sender details?
If you are choosing a new site package, compare WordPress hosting and check the permitted email-sending route. Moving hosts or buying more web space is not a diagnosis of a missing form notification.
What this check assumes
The steps below assume an existing WordPress site using Contact Form 7 and an already configured WP Mail SMTP connection. They cover testing and a Contact Form 7 sender correction, not installing a mail plugin, setting up OAuth or changing the domain’s authentication policy.
Use only test details you control, note each test’s time and unique reference, and check both Inbox and Junk. Keep a copy of the current form and mail settings before editing. Where possible, try changes on a staging copy; remember that its mail connection and domain must also be authorised.
Run three tests in order
1. Send ordinary external mail to the business inbox
From another email service you control, send a message to the exact address that should receive the form notification. Check receipt in the mailbox’s own webmail, not just a desktop application.
If that message is missing too, investigate the recipient mailbox, storage, filtering and incoming-mail routing with its provider. Record any bounce. A form sender change will not repair a mailbox that cannot receive ordinary messages.
2. Test the configured WordPress sending connection
In WordPress, open WP Mail SMTP → Tools → Email Test. Enter a recipient address you control, send the test and inspect the result. Then check that the message actually arrives at that recipient.
If the test reports an error, save the relevant error details privately and check the configured mail service with its support team. Do not publish credentials or complete diagnostic logs. If the test reports success but no message arrives, investigate filtering, bounces and the sending service’s available delivery information.
WordPress documents that a successful wp_mail() return value does not prove recipient delivery. Likewise, treat a test screen’s success as one stage of evidence and confirm receipt.
3. Submit the real form
Submit the actual Contact Form 7 form with a new reference and your own reply address. Check the configured recipient receives the notification, then reply to it and confirm the reply reaches your test address.
If ordinary mail and the WP Mail SMTP test arrive but the form notification does not, inspect that form’s recipient, From address, mail tags and Additional headers. If all three tests arrive, the route worked for those tests; investigate the conditions of the original failure rather than declaring every future message guaranteed.
Correct the Contact Form 7 sender and reply address
A frequent configuration problem is putting the visitor’s address in From. Contact Form 7 recommends a sender address belonging to the website’s domain. The visitor’s address belongs in Reply-To, so you can answer the enquiry without presenting the visitor as your site’s sender.
- Open the affected contact form in the WordPress admin area and select its Mail tab. Save a private copy of its existing mail settings.
- Check To is the real business mailbox that passed the incoming-mail test.
- Set From to a real address on the website’s domain which the configured sending service authorises. Check any forced-sender setting in WP Mail SMTP so the two configurations agree.
- In Additional headers, set Reply-To using the email field’s actual mail tag. If the field is named
your-email, the line isReply-To: [your-email]. If it has another name, use that field’s corresponding tag. Avoid leaving a conflicting second Reply-To line. - Save, resolve any relevant configuration-validator errors, and repeat a real form submission. Open the received message, check the displayed sender, then test a reply to your submitted address.
The literal tag above works only when that field exists; do not paste it into every form unchanged. If the authorised sending account uses a different domain, ask the mail administrator to reconcile the site-domain sender and the service’s permissions. Do not spoof an address or weaken authentication to make the form pass.
If a change worsens delivery, restore the saved form settings and repeat the controlled tests. Change one setting at a time so you can identify what affected the result.
Check what your hosting email service actually is
A mailbox for reading business email and the route used by a web server to send notifications are different parts of the setup. Hostinger’s documentation, for example, distinguishes its mailbox services from web-server mail and identifies the email product in the Emails area. That does not establish the correct sending settings for every Hostinger account or any other host.
Ask the provider which authenticated sending method is supported for your exact service and whether the site’s selected sender is authorised. Use the documentation for that product rather than copying SMTP settings from a different email service. SMTP means Simple Mail Transfer Protocol, one way applications submit outgoing messages.
When to ask for help
Escalate with the test time, reference, affected form, recipient and a redacted error or bounce. State which of the three tests passed. This gives the host, email service or site maintainer a specific failing stage to investigate.
For an existing business, our guide to email included with web hosting explains whether hosting email fits the wider mailbox requirements. If a change of website package is still warranted, compare WordPress hosting after confirming the sending route and support responsibility.
